Setup Guides: From Installed to Organised

Three focused guides covering installation, CRM configuration and speed. Read once, apply in an afternoon.

What setup guides are available?

WAExtension setup guides cover Chrome extension installation, WhatsApp Web CRM configuration (stages, tags, cadences), and keyboard shortcut productivity workflows.

Chrome Installation Guide

Install, configure and troubleshoot WAExtension in under ten minutes.

Before you start

You need Chrome (or any Chromium browser such as Edge or Brave) on desktop, a WhatsApp account linked via QR code, and permission to install extensions in your browser profile. Work accounts are fine; personal ones work identically.

Install in four steps

Open the WAExtension page and add the extension to your browser.

Pin the icon (optional but handy for settings).

Open web.whatsapp.com and link your phone as usual.

Accept the one-time local-storage prompt when the WAExtension panel appears. You're in — total elapsed time is typically under three minutes.

First-run configuration

Set your pipeline stages (New, Contacted, Qualified, Proposal, Won/Lost is a sane default), create your source tags, and import any existing contacts via CSV. Ten minutes here prevents a month of retrofitting.

Troubleshooting

Panel not showing? Disable other WhatsApp-modifying extensions, refresh, and check the extension is enabled for web.whatsapp.com in chrome://extensions. Updates deliver automatically through the browser store — no manual patching.

WhatsApp Web CRM Setup Guide

Stages, tags, cadences and the two rules that make the system stick.

The two rules

Everything else is optional. Rule one: every new commercial chat becomes a record before you reply. Rule two: no conversation ends without a dated next action. The tooling exists to make these two habits frictionless.

Design stages around reality

Sketch how deals actually died and closed last month; those gates are your stages. Four to six, each with a written exit criterion. Stages copied from a template rarely survive week two.

Tags: three families, fifteen max

source-* (portal, ads, referral, event), intent-* (quote, support, partnership), priority-* (hot, warm, cold). Anything more specific belongs in a note. Taxonomy discipline is the whole game.

Cadences per stage

Attach a default follow-up interval to each stage: 1 day after first contact, 3 days after quote, 7 days after proposal. Reminders surface in the daily digest; you write the message.

Week-two review

Filter by stage, list the zombies, prune unused tags, rewrite templates that always get edited. Then set a monthly export and a quarterly stage-definition revisit. Done — the system now runs itself.

Keyboard Shortcuts & Quick Replies Guide

Navigate and reply at the speed the channel demands.

Why keyboard-first

Mouse-hunting through chats scales linearly with pain. Search-first navigation keeps response times flat as volume grows — which matters because response time is the conversion lever.

Core set

Ctrl/Cmd+K opens command search across contacts, chats and templates. Ctrl/Cmd+F filters the chat list by tag or stage. Alt+T toggles the CRM panel. Typing '/' in the composer lists quick-reply shortcuts.

Template insertion

Every saved template gets a slash-shortcut (“/followup”). Variables fill inline with Tab jumps between them — the goal is under five seconds from decision to sent.

Building muscle memory

Pick two shortcuts per week. Users who complete the first-week drills consistently report faster handling than any UI tweak could explain — the habits compound.

Guide FAQ

No. Every guide assumes zero code. Webhooks are the only developer-facing area, documented in the integrations pages.

Yes — major releases ship same-week guide updates; each guide block carries its revision date.

The FAQ first, then support — answers that recur get folded back into these guides.

Follow along in the app

Install first, then work through the setup guide with your real chats open.
